Institutional Loan Repayment

Institutional Loan Repayment

UC Davis offers a wide range of Institutional Loans, and the Student Accounting Collections unit manages the collection of those loans and can answer any questions about exit counseling and repayment requirements. If you have questions about receiving a loan or completing the documents for a new loan, please contact the Financial Aid Office.

All students should review the loans tab of their MyAwards page shortly before leaving the university.  Any loan listed as “institutional” in the type column is an Institutional Loan owed back to campus and managed by Student Accounting.  Institutional Loans are separate from your federal Direct Loans and will not appear in your Federal Student Aid account (studentaid.gov), with the exception of the Perkins Loan.

The current loan servicer for all UC institutionally held loans is Heartland ECSI, which handles the billing, payment, and benefit processing for those loans.

Borrower Responsibilities

It is the borrower's responsibility to:

  1. Complete their exit counseling for all loans.
  2. Keep their loan servicer(s) up to date with all changes in contact information.
  3. Make their student loan payments on time, regardless of whether they receive the billing notices from the servicer.

Make note of when your loans are expected to come due (found during your exit loan counseling) and which servicer will be handling the loan so you are not relying on receiving a billing notice or surprised by a billing notice after you leave school.

Managing Your Loan

  • Exit Loan Counseling
  • Exit counseling is a chance to review your loans borrowed, understand where payments will be made, and your expected payment amounts and due dates.

Exit counseling is required any time a student borrower drops below half-time status* for any reason or files to graduate.  This means you may be required to complete exit counseling multiple times throughout your educational journey.  PELP, Withdrawal, Dismissal, failing to register, registering with less than half-time units*, and filing to graduate will all trigger an exit counseling requirement for any outstanding Institutional Loans (even if you’ve completed exit counseling for that loan previously).

Exit counseling for your Institutional Loans is completed online via your Heartland ECSI account.  Once your exit documents are available, a ZF hold will be placed on your student record, and you will receive an email from [email protected] with your registration information and instructions for where to find your exit document(s) once logged into your ECSI account.

ZF holds are released within two business days of requirement completion.  Please note that the ZF hold/requirement only pertains to your Institutional Loans.  You will have a separate exit counseling requirement established via your MyAwards page for any outstanding federal Direct Loans you may have.  Questions regarding that requirement should be directed to the Financial Aid Office.

Please register a non-UC Davis email address on your Heartland ECSI account. When changing your email on your ECSI account, click the box authorizing it to be “shared with school/institution.”

*Some professional loans may require full-time units for continued in-school or deferment status for the loan

  • Repayment
  • Payments will be made to Heartland ECSI, the billing servicer for UC Institutional Loans.   Options for making payments can be found on the Heartland ECSI website.

Payments are posted in the following order: collection costs (when applicable), late fees, interest, then principal.

If you’d like to avoid paying interest on your loan, it would need to be paid in full by the end of the grace period.

If a payment posts to your loan account but is not applied as you expected, please email [email protected].  ECSI will not be able to make any payment adjustments.

If you would like to repay your loan before leaving school please email [email protected] on how to proceed.

    ACH Registration
It is highly recommended that you utilize automatic recurring payments or automatic ACH/e-check if your budget allows.  You can sign up for automatic recurring payments online via your Heartland ECSI account.  Monitor both your loan and bank account each month or quarter (as applicable) to make sure you see any payments, automatic or one-time, are deducted from your bank account and applied to your loan(s) as expected.

If your account is already past due, you must make a one-time payment for the past due amount first and then set up automatic recurring payments to start with the next regular installment billing date.

    Billing Frequency
Most UC Davis Institutional student loans bill quarterly.  Please review your exit repayment schedule(s) and make sure you understand how much will be due and when.

If you would like your loans to be switched to monthly billing, you must email the Student Accounting Collections unit.  We only recommend switching to monthly billing if you will also be signing up for automatic recurring payments.

Occasionally, borrowers that have had gaps in their enrollment will have multiple quarterly loans on different payment cycles.  To align them, please email the Student Accounting Collections unit, requesting to switch your loans to monthly billing.

  • Consolidation
  • Consolidation refers to taking out a new Direct Consolidation loan to pay off other eligible loans and move those balances into the Federal Direct Loan program.  The Perkins Loan, Loan for Disadvantaged Students, and The Health Professions Student Loan are the only Institutional loans eligible for consolidation into the federal Direct Loan program.  Consolidations are initiated online via your Federal Student Aid account.  If you have any other Institutional Loan, it is not eligible for federal loan consolidation.

  • AmeriCorps Payments/Forbearance
  • You may use your Segal Educational Award to pay any of your Federal or UC Davis Institutional Student Loans.  For your Institutional Loans, when submitting the request via your AmeriCorps portal, choose University of California – Davis as the institution, and the corresponding address should be:

    Campus Cashiering
    1200 Dutton Hall
    1 Shields Ave
    Davis, CA 95616

This is only for Institutional Loans. Any requests sent to UC Davis for Direct Loans will be denied and will need to be resent to your Direct Loan servicer.

If you have multiple loans, a separate payment request must be submitted for each loan.

Forbearance is available for most Institutional Loans that are in good standing while you’re completing your AmeriCorps Service. Use the above institution name and address for those requests.

  • Loan Benefits - Types of Postponement
  • Each loan fund has different loan benefits (deferment, forbearance, cancellation) for varying lengths.  Refer to your promissory note for the benefits specific to your loan.

If you have a Perkins or Dream loan, please also review the service cancellation benefits available for those loans.  For each year of service, a prorated amount of the loan can be cancelled, with possible total cancellation after five individual years of service.  The Dream loan has the same service cancellation benefits as the federal Perkins Loan.

  • Delinquency/Default
  • Delinquent and defaulted loans may result in late fees, negative credit reporting, acceleration, collections, collection fees, and possible California state tax interception.

If your loan is delinquent or defaulted, please contact Collections at (530)752-3646 or email [email protected] to go over your options.

  • Credit Bureau Reporting
  • With the exception of Health Professions Loans (HPSL, LDS, PCL), all student loans are reported to the credit bureau from the time of disbursement, so it’s imperative to keep your loans in good standing.  Your federal Direct Loans will be reported to all three major credit bureaus, whereas your Institutional Loans with UC Davis will only be reported to Equifax. Health Professions Loans from UC Davis are only reported once they fall 60 or more days past due and are only reported to Equifax.

We highly recommend that you actively pull your credit reports from each of the three major credit bureaus (Equifax, Experian, Transunion) via AnnualCreditReport.com periodically to ensure you’re aware of what’s on your credit report and that it’s accurate and belongs to you.

Do NOT rely on your credit report to know what you’ve borrowed; as indicated above, not all loans (e.g., Health Professions Student Loans) are reported to the credit bureau, and not all accounts are reported to all three bureaus.  Moreover, once something is reported as past due, it’s too late to fix it.

UC Davis can only answer questions regarding credit reporting for your Institutional Loans.

  • Frequently Asked Questions
    • I have a hold on my records. How do I resolve this?
    • Please see Financial Holds for a list of Student Accounting holds and information on how to resolve them.

    • I have already completed my exit counseling interview, but my hold still remains on the account. When will this be removed?
    • A ZF hold is only for the exit counseling for any Institutional Loans you borrowed while attending UC Davis.  That exit counseling is completed online via your Heartland ECSI account and you would have received an email from [email protected] with instructions on the day your hold was placed.

Once the institutional exit counseling is completed, allow for two business days for the hold to be removed.

If you completed the exit counseling via StudentAid.gov, that is for your federal Direct Loans and does not satisfy the exit requirement for your Institutional Loans.

If you have a ZF hold and cannot locate the exit instructions email from ECSI, please email [email protected] to have it resent

    • I have taken out student loans. When and where do I start re-paying these?
    • If you borrowed loans while at UC Davis, you will need to complete exit loan counseling for each of your loans. During the exit session(s), you will review the amounts you borrowed, when you’re scheduled to enter repayment, and the terms of the loans, as well as the contact information for the service of those loans.

Log into your MyAwards page and click on the Loans tab. If you have multiple “types” of loans (the type column has Federal and Institutional), you will have multiple servicers/companies you’re making payments to.  Make sure you note in your budget the amounts, dates, and who you will be paying for each of your loans.

    • My student loans through UC Davis are now in collections. Who do I contact to make payment arrangements?
    • You will make payments to the collection agency the loans are placed with, but we highly recommend that you first contact [email protected] or 530-752-3646 and ask to speak to someone regarding your Institutional Loans so we can review your account and options for those loans.
